What the Booking Feature Does
When a visitor asks to book an appointment, consult, demo, or service, your chatbot:
- 1.Asks for the visitor's name, email, and preferred time
- 2.Checks against your real-time availability

- 4.Sends a confirmation email to both the visitor and you

Setting Up Your Availability
Step 1: Enable Booking
In your chatbot settings, go to Features → Appointment Booking and toggle it on.
Step 2: Set Your Hours
Under Availability, configure:
- →Working days — choose which days you take bookings
- →Working hours — set your start and end times
- →Time zone — critical for getting times right for international clients
- →Slot duration — 15, 30, 45, or 60-minute slots
- →Buffer time — gap between appointments (e.g., 15 min to prepare)
Step 3: Block Off Time
Click Add Exception to block specific dates or times:
- →Holidays and personal days off
- →Existing meetings you've already committed to
- →Lunch breaks or travel times
Step 4: Set Your Booking Message
Customize what the chatbot says when a visitor wants to book. For example:
> "I'd love to schedule a time for you. What day works best? I have availability Monday through Friday, 9am–5pm."
Step 5: Configure Confirmation Emails
Under Booking Emails, customize:
- →Customer confirmation — what the visitor receives after booking
- →Internal notification — what you receive so you can prepare
- →Include a calendar invite (.ics file) so both parties get a calendar event automatically
Making Booking Feel Natural
Your chatbot doesn't need the visitor to say "book appointment." It recognizes natural language like:

Reviewing Your Bookings
All appointments appear in your Appointments tab in the dashboard. You can:

Best Practices
Set realistic availability. If you set 8am–8pm availability but actually can't make evening calls, you'll create a poor experience. Under-promise and over-deliver.
Use buffer time. Never schedule back-to-back. Give yourself 15 minutes between appointments.
Test it yourself. Before going live, book a test appointment and check that confirmation emails arrive correctly and your calendar updates.
